Acceptance, booth placement & cancellation

Acceptance

  1. Complete the online application and use the notes to describe your product or service.
  2. Show management evaluates new applicants and accepts based on the best fit for the show.
  3. You're notified by phone if accepted, and booth placement is offered then.
  4. Contract and payment schedule follow.
  5. A signed contract and payment by the invoice due date secure your participation and booth.

SWS reserves the right to refuse any exhibitor or potential exhibitor.

Booth placement

Booth selection is by seniority (years with SWS), not booth size or preference. Exhibitors choose their own locations, with a required 10′ separation between like businesses (aisles excluded).

Returning vendors: apply by March 15 with your account in good standing to keep seniority. If the floorplan is unchanged you keep your booth. Selection appointments start after March 15 and finish by the end of May. Sign the participation agreement within 10 days of placement. Upgrades and downgrades depend on availability.

New vendors: accepted year-round. Accepted before the end of May: you get a selection appointment. After May: you pick your booth on acceptance. Sign within 10 days. You can watch the floorplan and ask to move if a preferred space opens.

Cancellation

Cancel before June 10: booth payments are refunded minus a 10% admin fee. After June 10: no refund, and no further payments are due.
